Terms of Service
Effective October 23, 2026
These terms cover your use of the Pricing Calculator at pricingcalculator.co (the "calculator"). The calculator is made and run by Folio LLC, a North Carolina limited liability company ("Folio", "we", "us"). By using the calculator, you agree to these terms. If you don't agree, please don't use it.
What the calculator is
The calculator helps bookkeepers and accountants estimate what to charge a client. It runs in your web browser. You enter information about a client, and it gives you an estimated fee, a scope of work and reports you can print or download.
Everything it produces is an estimate. You decide what to charge, what to put in a proposal and what to agree to with a client. Read the disclaimer for more on this.
Who can use it
You must be at least 18 and using the calculator for your own business or the business you work for. Access may require an account, and some features may be limited to members of a program or group, or to an access code. Access codes and logins are for you and your firm. Please don't share them outside your firm.
Accounts and plans
When accounts are turned on, you sign up with your email address. The Free plan costs nothing. The Standard and Full plans, and the Tax Add-On, are paid subscriptions, billed monthly or yearly, at the prices shown on the Plan & Account page when you sign up. What each plan includes is listed on that page. Yearly costs less than 12 months of monthly. Sales tax is added at checkout where we're required to collect it. Payments are handled by our payment processor on its own secure checkout page. We never see or store your full card number.
Standard can start with a 7-day free trial. You enter a card to start it. If you don't cancel before the trial ends, your subscription starts and your card is charged the plan price.
Subscriptions renew each month or year, matching how you pay, until you cancel. You can cancel, switch plans or update your card any time from "Manage, Switch or Cancel" on the Plan & Account page, or by emailing us. When you cancel, you keep paid features until the end of the period you paid for. We don't give refunds for partial months or years unless the law requires it. We may change prices with at least 30 days' notice by email. Some accounts, like members of a partner group, may get a plan free or at a discount while they stay members.
If you signed up with a partner's referral code, that partner may receive part of what you pay. It doesn't change your price.
Your information and your clients' information
On the Free plan, or when accounts are off, what you enter stays in your browser on your device. On the Standard and Full plans, your settings, clients and saved versions are also stored in your account so you can use them on any device. The privacy policy explains this in detail.
Keep your own copies. Clearing your browser data, using a private window or switching devices can remove work that is only in your browser. Use Download file and the backup option on My Firm. We work to keep account data safe, but we can't promise we can recover anything that is lost.
You are responsible for the client information you choose to enter and for following any rules that apply to it, including your engagement letters, confidentiality agreements and privacy laws. If you prepare tax returns, that includes getting your client's consent before using tax return information for anything besides the return. The calculator is not built for protected health information. Don't enter patient names, patient records or other protected health information, even for medical or dental clients.
Optional features that use your own AI
On the Full plan, or with the Sales Calls with AI Connection add-on on any plan, you can connect your own AI account (for example Anthropic Claude, OpenAI ChatGPT, Google Gemini, Meta Llama or another service you choose) with your own API key. When you press an AI button, the text you chose (like a transcript, an engagement letter or your notes) goes straight from your browser to that company to be read. That happens under your own account and that company's terms, and any charges are billed to you by them. Only send text you have the right to share. Your key is saved in your browser only. It isn't stored in your account or sent to us. AI answers can be wrong. The calculator never sends anything to your clients.
Recorded calls and transcripts
Before you record a call, or upload or paste a call transcript, you're responsible for getting the consent the law requires from everyone on the call. Some states require every person on a call to agree to the recording. Only upload transcripts you have the right to use. In the Sales Calls add-on, transcripts are read in your browser and aren't saved to your account. Only the scorecard is saved.
Coaching, drafts and templates
Call scores, coaching, suggested questions, follow-up emails, scopes of work and agreement drafts (like the referral partner agreement, the trade agreement and the engagement letter ideas) are starting points. They aren't legal, tax, accounting or business advice, and they don't promise any result. Have an attorney licensed in your state review any agreement or letter before you use it. You decide what to say, send and sign.
Add-ons
Add-ons like the Tax Add-On and the Sales Calls add-ons can be added to any plan, including Free. They're billed and canceled the same way as plans. Features that use AI work only with an AI account you connect and pay for yourself. On the Full plan, the Sales Calls Add-On includes the AI connection, so you don't need the Sales Calls with AI Connection Add-On. If you leave the Full plan, the AI connection stops unless you switch to the Sales Calls with AI Connection Add-On.
Refer and Earn
Any member can get a referral link on the Refer and Earn page. You earn 10% of what each person who signs up with your link and pays us actually pays, before sales tax, refunds and credits, for the first 12 months after their first payment. Each commission waits 30 days in case of a refund. We pay what's ready each quarter, by bank transfer or another method we agree on, once you're owed at least $25. We need a completed Form W-9 before the first payout, and you handle your own taxes. Free, comped and scholarship accounts, accounts that already had an account, and your own account don't earn. When you promote the calculator, you must say that you earn a commission, as the Federal Trade Commission's Endorsement Guides require, and you can't send spam, buy ads on our name, or describe the calculator inaccurately. We can change or end the program with 30 days' notice, and we can cancel commissions tied to fraud or broken rules. Commissions on payments made before a change are still paid. Group partners (like BGN and All Stars) have their own written agreements.
What you own and what we own
You own the information you enter and the reports and proposals you create with the calculator. Use them however you like in your business.
Folio owns the calculator itself: the software, design, wording, task library, default hours and rates, guides, videos and the Pricing Calculator name. We give you a personal, non-transferable right to use the calculator for your own pricing work while you have access.
Please don't:
- copy, resell, rent or redistribute the calculator or its task library
- rebuild it or put it on your own website as your own product
- remove the Folio name or notices from the calculator
- try to break it, get around an access code or overload the site
- use it for anything illegal
Changes and availability
We update the calculator often. We may add, change or remove features, change default rates or hours, or stop offering it, at any time. We'll try to give notice of big changes, but we don't promise the calculator will always be available or work without errors.
No warranties
The calculator is provided "as is" and "as available." To the fullest extent the law allows, Folio makes no warranties of any kind, express or implied, including warranties of merchantability, fitness for a particular purpose, accuracy and non-infringement. We don't promise that any estimate is right for your firm, your market or your client.
Limit of liability
To the fullest extent the law allows, Folio and its owner won't be liable for any indirect, incidental, special, consequential or punitive damages, or for lost profits, lost revenue, lost data or underpriced or overpriced engagements, that come from using or not being able to use the calculator. If Folio is found liable for anything related to the calculator, the most Folio will owe is the amount you paid Folio for access to the calculator in the 12 months before the claim, or $100 if you paid nothing.
Your responsibility
You agree to cover Folio for claims, losses and costs (including reasonable legal fees) that come from how you used the calculator, the information you entered, the prices you set or proposals you sent, or your breaking these terms.
Ending access
You can stop using the calculator at any time. We can suspend or end your access if you break these terms or if your membership or access ends. The sections on ownership, warranties, liability and your responsibility still apply after that.
Governing law
These terms are governed by the laws of the State of North Carolina, without regard to its conflict of law rules. Any dispute will be handled in the state or federal courts located in Wake County, North Carolina, and you agree to those courts' jurisdiction.
Changes to these terms
We may update these terms. When we do, we'll change the date at the top of this page. If you keep using the calculator after a change, you agree to the updated terms.
Everything else
If any part of these terms can't be enforced, the rest still applies. If we don't enforce part of these terms right away, we can still enforce it later. These terms, the privacy policy and the disclaimer are the whole agreement between you and Folio about the calculator.
